January 14, 2009 7:30pm – Nautica Coffee
Patrick Brady – Eaglewood Homeowners Association President called the meeting to order at 7:35 pm.

The Officers and Committee members in attendance were:
Patrick Brady, Steve Sanderson, Bill Ludwig, Nick Melchert and John Sundheimer. Committee members not in attendance were Bob Bertke , Andrea Brady and Emily Ordorica.


PATRICK BRADY HANDED OUT A MEETING AGENDA WITH THE TOPICS TO BE DISCUSSED. THE MINUTES FROM THE MEETING FOLLOW BELOW:

TRANSITION STATUS:

Patrick advised that he will be getting with past President, Emily Ordorica to obtain her records and paperwork. Steve Sanderson advised that he will contact past treasurer Robin Reynolds to obtain the financials and other treasury paperwork. Patrick advised that Robin Reynolds suggested the HOA look into changing banks – due to increased fees to the association. Patrick and Steve will meet with Emily and Robin to either have the bank account signatures changed over to the new officers names, or closed, with new accounts being put into the new officers names.

REVIEW FINANCIAL DATA:

Previous Treasurer Robin Reynolds was not present. Steve Sanderson will contact Robin to obtain the treasury paperwork, and work out changing the HOA accounts into the new officers names. Dues collection was discussed – reminder notices went out in November. As of the last meeting in November – 38 of the 74 homeowners had paid their 2008-2009 dues. Steve will get updated figures from Robin Reynolds when they meet. A reminder notice will then be sent out to all homeowners that have not yet paid their dues.

IRRIGATION PROJECT:

Patrick brought forward for discussion the status of the irrigation project. Reviewing the previous meeting notes, it was determined that the irrigation project was put on hold until Spring 2009. This was due to the City of Sylvania advising that the irrigation system would require a backflow valve and that the irrigation company to be used was not licensed to install a backflow valve. Patrick advised that he will contact Mr. Creekmore to see if he can still do the project this spring and have him re-bid it if necessary. Patrick also advised that he will follow up with the City of Sylvania to find out how the HOA will need to proceed to complete the project. It was discussed among the officers and committee members present that since the island yard hydrant already has a water meter with backflow protection – we may be able to proceed as is by either tapping in to the existing supply line to the yard hydrant or if the city insists on eliminating the yard hydrant as they have previously indicated – we would have a water faucet installed into the new irrigation system.

2009 ASSOCIATION GOALS:

Patrick Brady brought forward the idea of cutting back on the number of scheduled meetings held during the year. Patrick suggested that less meetings would be necessary since the HOA is not currently planning any new projects other than completing the previously planned irrigation project. Patrick put forward a motion to hold only scheduled quarterly meetings to be held the 2nd Wednesday of April, July, October and January, with additional meetings scheduled as necessary. The motion was seconded and all in attendance were in favor.

The officers and committee members present discussed the following as goals for 2009:
Completion of the irrigation project.
3rd Annual Fall Cookout – Look for someone that would like to organize it this it year.
Eaglewood Golf Outing – to commemorate Bill Ruff and provide a college scholarship from the proceeds. A motion was put forward and seconded to have Bill Ludwig look into organizing the event. Bill stated that he and Bob Betke had previously discussed the possibility and he will follow up with Bob.




OPEN FLOOR:

Patrick Brady asked if the committee feels the Welcome Wagon for new neighbors should continue. Everyone in attendance stated that they were in favor of continuing Welcome Wagon – with a flowers and a welcome letter including a copy of the deed restrictions.

Mud Hens Outing – was discussed by the officers and committee as a possible neighborhood event.

Emily Ordorica – Eaglewood Homeowners Association President called the meeting to order at 7:40 pm.

The Officers and Committee members in attendance were:

THE MINUTES FROM THE MEETING FOLLOW BELOW:

2006-2008 EAGLEWOOD HOA ACCOMPLISHMENTS:
Emily gave an overview of the accomplishments of the Eaglewood HOA during the past two years, highlighting the major accomplishment of replacing the Eaglewood Sign and Landscaping. Emily thanked all officers and committee members for their hard work.

Emily advised that dues from the past year 2007-2008 have all been collected – with 100% of homeowners having paid their dues. Emily further advised that dues for this year, 2008-2009 will remain $35 and that dues collection notices have been sent out.

Emily gave an outline of everything the Eaglewood HOA is responsible for to stress the importance of continuing the Eaglewood HOA. The list included: paying utilities, insurance, lawn care, tree care, purchase of office supplies, holiday lighting, incidental maintenance and the fall cookout. She expressed her concerns over the need for people in the neighborhood to step forward to fill the officers positions which are to be filled during elections tonight. Emily indicated that if new officers do not step forward that she would put forward a motion to either significantly change or dissolve the HOA due to lack of interest or lack of concerned homeowners.

Finally, Emily stated that if the HOA no longer existed – and dues were no longer collected – once the current dues funds were exhausted, service for electrical, water, lawn care and general maintenance would not be able to continue – and the neighborhood would likely begin to lose appeal and value.

TREASURERS REPORT:
Robin Reynolds distributed a report indicating the current Eaglewood HOA account balances along with a report indicating all expenses paid out during 2008. Robin indicated that currently, 38 of the 74 homeowners have paid their dues for 2008-2009. The current account balance as of this meeting is $2,488. which includes $1,275 of dues collected for the current year 2008-2009.

IRRIGATION PROJECT:
Emily reported that the irrigation project is ongoing. The project has been postponed to Spring 2009. The bids for the project will be passed along to the newly elected officers and committee members for completion.

OFFICER ELECTIONS:
Election of new officers for the term November 2008 thru October 2010. All officers nominated and or volunteering were put forward with a motion to vote them into office. Each was seconded and voted in by simple majority vote of all in attendance.

The following are the results of the officer elections:

Sectretary: None Elected – Nick Melchert has volunteered to continue on as interim
Secretary until another can be found.

Annual Eaglewood Cookout – which was postponed until October due to inclement weather.

THE MINUTES FROM THE MEETING FOLLOW BELOW:

IRRIGATION PROJECt:

Emily advised that she had contacted one of the irrigation companies – Waterville Irrigation, that Grant Rabideau an inspector with Lucas County gave to her. She spoke with the company about coming out to give a quote to complete the project – the company never called Emily back.

Emily advised that the irrigation project will be put on hold until Spring of 2009.

FALL COOKOUT RAINDATE:

Emily and Nick discussed the upcoming Fall Cookout – which will be held this coming Sunday October 12th. The weather forecast looks good – no precipitation. Nick supplied Emily with a list of left over paper goods and supplies from last years cookout. Emily advised that she will go to Gordon’s Foods to purchase the hot dogs and hamburgers on Friday. Nick advised that he will gather tables and chairs from neighbors, and borrow a corn hole game as an activity at the cookout. Emily advised there will be a dues collection box at the cookout for anyone interested in paying their HOA dues.


ANNUAL MEETING/FALL COOKOUT:

Emily and Nick discussed the previous decision to hold the annual meeting during the Fall Cookout and decided that the meeting will not be held during the cookout – but at a later date - November 12th.

Emily will post a sign the week of the planned annual meeting. Nick will distribute a combined Annual Neighborhood Meeting Notice/Dues Collection Notice to each home. New Officers will be elected during the annual meeting.

DUES:

Emily advised that to her knowledge – there were three homeowners that had not paid their dues from the past year.

OTHER BUSINESS:

Nick advised that the electrical outlet near the Eaglewood Sign is not working. The GFI will not reset, and the circuit breaker will not stay closed. Nick will contact an electrician to have the outlet fixed. Meeting Adjourned 8:30 pm

IRRIGATION PROJECT UPDATE:

Emily brought forward for discussion the irrigation project, providing updated information regarding the status of the project.

Emily advised that she had contacted Grant Rabideau whom is an inspector with Lucas County again regarding the irrigation project. Mr. Rabideau gave Emily a referral to another company – Waterville Irrigation. Emily will be contacting Waterville Irrigation to have them bid the job to install any necessary equipment for Just Another Lawn Service (Mr. Creekmore’s company) to proceed with the irrigation project, as well as a quote to do the complete job. Emily also plans to contact Dave – with the Sylvania Water department to confirm with him what is needed for the project to proceed.


FALL COOKOUT/ANNUAL METTING COMBINED:

Emily brought forward previous discussion to hold the annual meeting as part of the fall cookout. The idea was originally brought up to Emily by Patrick Brady as a way to promote more neighborhood participation in the annual meeting. It was decided during the meeting that this year the HOA Annual Meeting would be held during the first half-hour of the cookout. As part of the annual meeting, officer nominations/elections will be held to fill the offices of president, treasurer and secretary.

Emily will contact Robin Reynolds to get a copy of the receipt from the cookout last year – to get a better idea of how much food was purchased. The committee discussed and decided that hot dogs and hamburgers would be served again this year, along with everyone attending bringing a dish to share as well as their own beverages.

Nick Melchert advised that he will begin working on a Fall Cookout Notice – and plan to distribute it door to door. Emily advised that she will make signs and post them a couple of weeks before the Fall Cookout.

TREASURER’S REPORT/ANNUAL DUES COLLECTION UPDATE:

Bill Ludwig reported that he had collected annual dues from two homeowners that had not yet paid their 2007/2008 annual dues. Robin Reynolds was not present to advise whether any other outstanding dues remain to be collected, but believes that only one homeowner has not paid. Nick Melchert advised that he had spoken to that neighbor earlier in the summer - and stated they had written out their check – but had not submitted it because they forgot where it needed be delivered. Nick will check to see if the payment was submitted.

OFFICER POSITIONS/ELECTIONS:

Emily brought forward the fact that it was decided in a previous meeting that the Eaglewood Homeowners Association would elect new officers once every two years. This decision was made for two main reasons – to promote fresh ideas and renewed energy, and to prevent burnout of the officers. Emily advised that the two year terms of the present officers will be complete this September, and that each officer – president, treasurer and secretary have stated that they do not want to continue in their present positions. Consequently, new officers for each of the positions will need to be nominated/elected during the Annual Meeting at the Fall Cookout. It was further discussed that In the likelihood that there are no homeowners willing to step forward into these positions, the direction of the Eaglewood Homeowners Association would need to be further discussed. The possibility of curtailing regular monthly meetings back to holding just a couple of meeting per year or when situations requiring a meeting arise was discussed.

OTHER BUSINESS:

A homeowner was in attendance to bring several of concerns to the attention of the Eaglewood Homeowners Association. The concerns of the homeowner were discussed at length, with each item brought forward being explained and further clarified as to the reasoning behind the association’s actions (and/or lack of actions).

IRRIGATION PROJECT UPDATE:

Emily brought forward for discussion the irrigation project, providing updated information regarding the status of the project.

Emily advised that she had contacted Grant Rabideau whom is an inspector with Lucas County to have him come and take a look at the existing water lines to the boulevard island. Mr. Rabideau looked at the existing water meter and water line. In his opinion, Mr. Rabideau advised that the water meter currently installed by the city has a backflow valve contained within it, therefore – nothing more needs to be done to prevent groundwater from backing up into the city water supply.

Emily advised that she will be contacting the city water department again to discuss the information learned from Mr. Rabideau. Emily will ask the water department to come and inspect the water meter and lines to determine whether the irrigation project can proceed with the existing equipment.

MAILBOX REQUEST:

Emily reviewed discussions from the June HOA Meeting regarding a request by a homeowner to install a mailbox that does not conform to the deed restrictions. Afterward, the issue was further discussed among the officers and committee members. The deed restrictions were reviewed and found to clearly indicate that mailboxes are to be of “rustic cedar construction”. A motion to vote on the the homeowner’s request to install a non-conforming “Rubbermaid” style mailbox was brought forward by Emily Ordorica and seconded by Lisa McCoy. By a vote of 7 neighs to 1 aye, the request to allow the non-conforming mailbox was denied. Emily advised that a letter will be drafted and sent to the homeowner.

TREASURER’S REPORT:

Robin Reynolds passed out a financial statement and gave a brief report on dues collection. Robin advised that there are now only five homeowners that have not paid their HOA Dues. It was discussed that further attempts by Robin and the committee will be made to collect all of the remaining unpaid dues.

ANNUAL MEETING/FALL PICNIC:

Emily relayed to the committee that Pat Brady suggested the possibility of combining the Annual Meeting with the Fall Picnic. Those in attendance thought it would be a good idea. The idea will be further discussed in the August Meeting.

The Eaglewood HOA July Newsletter was distributed to the door of all Eaglewood Homeowners The newsletter included information on the following topics:

OTHER BUSINESS:

It was brought forward that a homeowner has been storing an appliance (a clothes washer or dryer) on the patio behind their house. It was discussed that a letter be written and delivered to the homeowner instructing that the appliance be removed.

Hello Eaglewood Homeowners! Happy Summer!! Barbeques, graduation parties, 4th of July Celebrations and yes – The Jamie Farr Tournament! We hope that everyone is enjoying the summer season, getting outside to work in the yard, completing summer projects or just having fun and soaking up some summer sun! In this newsletter, we will bring you up to date on what the HOA has been working on through the first half of the year, and inform you of some upcoming events and important dates.

Like many of our homeowners, the Eaglewood HOA is busy completing outdoor summer projects. The little markers placed along the island entering our subdivision are evidence that this year’s summer project of installing a sprinkler system in the island around our new Eaglewood sign is underway.

The sprinkler system project has been slowed a bit by the city water department. The city advised that the yard hydrant that is installed in the islands must be removed because it is no longer up to code. Additionally, the sprinkler system installation will require a plumber licensed to install a backflow valve as part of the installation. Finally, the city requires the backflow valve to be inspected annually by a plumber licensed to perform a backflow valve inspection. This must be done to meet the more stringent EPA regulations designed to prevent ground water from contaminating the city water supply. As a result, the association is currently investigating the additional costs for the plumber and annual inspections. Though it is not anticipated that these costs will prevent the project from moving forward, the association is reviewing these unexpected costs and anticipates that the project will proceed – possibly in two phases:

2008 - Removing the lawn hydrant and installing new in-ground water faucet with backflow valve. 2009 - Installing the sprinkler system.

Eaglewood Fall Cookout!! – September 14th

As a result of the success of last years fall cookout, the association is planning a 2nd Annual – Eaglewood Fall Cookout! The association received a lot of positive feedback during and after the neighborhood cookout last October. We plan to continue the fun and establish a new tradition of holding this event annually – to help reconnect with old neighborhood friends and meet with neighbors we might not otherwise get to meet. Be on the lookout for a flyer in your door – and a sign in the boulevard islands giving further details. The tentative date for the party is Sunday September 14th (Rain Date September 21).

Everyone is encouraged to come to this neighborhood wide meeting. During the meeting we will review the accomplishments of the previous year, outline goals and events planned for the coming year, address any homeowner concerns brought to the meeting and elect new officers for the 2008 - 2010 two year term.

Electing New Officers

The Eaglewood Homeowners Association officer positions are President, Treasurer and Secretary. It is very important to the Eaglewood neighborhood that these positions are filled by new people with fresh energy and ideas. Electing new officers helps to insure that more people are involved in the direction and leadership of our neighborhood. It is important to every one of our homeowners that the Eaglewood Homeowners Association maintains an active role in the neighborhood. Continuing a strong and active association helps to insure that our neighborhood will continue to be well maintained and remain a great place to live. What does it take to keep a neighborhood attractive and nice? The crucial factor is the willingness of the men and women who make up the association's board of directors to enforce the rules that have been created. What could happen if the restrictions are not enforced? An average size community with 100 or more members will invite varying degrees of what constitutes an acceptable standard of maintenance. With that in mind, the appearance of a development can steadily decline if the board members do not discuss and establish uniform standards for everyone. The neighborhood can either become an architectural showcase for sustained property values, or it can become a venue for the weird and unusual. People have differing views of what is attractive and, without certain deed restrictions, there is a good chance of the neighborhood looking dramatically different over time from the way it did when you first bought your home.

Top 10 Things your HOA has done for you during the past year:

10 Lawn mowing of the grassy areas of the boulevard islands.
9 Fertilization of the grassy areas of the boulevard islands.
8 Landscape planting and mulching around the neighborhood sign.
7 Trimming Trees in the boulevard islands.
6 Replacing the inoperative photo-electric sensor that controls the neighborhood sign lights.
5 Remove and replace the lawn hydrant that supplies water to the boulevard islands.
4 Decorate boulevard island trees with holiday lighting.
3 First Annual Eaglewood Fall Cookout.
2 Payment of all proper bills of the Association.
1 Planning and Replacement of the Eaglewood neighborhood sign.


Please be considerate of walkers in our neighborhood by trimming any low, overhanging branches along the sidewalk in front of or along side of your homes. There are some branches that are enough of an obstruction that walkers must go around them onto homeowner’s yards.

IRRIGATION PROJECT DELAYS AND ISSUES:

Emily brought forward for discussion the fact that the irrigation project is currently on hold due to the following circumstances:

Mr. Creekmore from Just Another Lawn Service went to the Sylvania Water Department to pull his permit. The water department advised him that the yard hydrant installed in the boulevard islands is no longer up to code. They advised him that it would need to be removed – due to the possibility of ground water contaminating the city water supply.

Emily followed up her conversation with Mr. Creekmore by contacting the Sylvania Water Department – and spoke to a gentleman named Rick. Rick explained to Emily that the yard hydrant could be replaced with an in ground faucet with an in-line backflow valve. The backflow valve has to be installed by a plumber licensed to install a backflow valve. The backflow valve installation has to be inspected (Rick advised the cost for the inspection should be around $80-$150.) Rick further advised Emily that an EPA inspection is required to be done annually by a plumber licensed to do the backflow valve inspection.

Emily advised that the project is on hold until either a special meeting, or the scheduled July HOA Meeting. During that time frame, additional information will need to be gathered to discuss whether the project will be able to proceed. Emily will attempt to obtain the following information.

Contact a plumber licensed to install and inspect the faucet with backflow valve.
Firm up inspection requirements and costs.
Contact Mr. Creekmore to meet with us at the next meeting if necessary.

If it becomes apparent that the irrigation project will not be able to proceed this year, Emily advised that we will need to solicit volunteers to water the island plants.

DUES COLLECTION:

Robin Reynolds was not in attendance. The committee members in attendance were in need of information on outstanding dues, so Robin was contacted via cell phone to get the information. Robin advised that she was not at home, but to her recollection there were 11 homeowners that had not paid their dues. Robin advised that she will distribute late notices to all of the unpaid homeowners.

MAILBOX REQUEST:

Emily advised that she had been contacted by one of the homeowners regarding installing a new mailbox. Emily had informed the neighbor to supply details regarding the type of mailbox the neighbor intended to install by five days prior to the June HOA meeting. The neighbor gave Emily a printout the day before the meeting, showing the type of mailbox that they want to install. Emily passed around the printout to the committee members – showing a “Rubbermaid” style mailbox. The committee members present were all in agreement that the proposed mailbox does not conform to the type required by the Eaglewood deed restrictions. It was decided that the issue would need to be tabled until the July HOA meeting when there would be enough officers and committee members in attendance to vote on the request.


OTHER BUSINESS:

It was brought forward that raising dues may be required if the HOA realizes increased costs for services – such as lawn care, utilities and irrigation inspections.

Emily Ordorica – Eaglewood Homeowners Association President called the meeting to order at 7:40 pm.

The Officers and Committee members in attendance were:

OLD BUSINESS:

Emily brought forward the fact that since the April meeting, several members of the committee had met with the homeowner wanting to construct a privacy fence on his property. The homeowners proposal had been submitted and approved previously by the former association president. However, since a long time had passed since the project was first approved, the current HOA committee felt it prudent to meet with the homeowner once again to review the plan.

The homeowner provided a copy of the design proposal and explained what his plans were. The plan was reviewed – and a couple key items such as the fence height and setback were discussed. During discussions in previous HOA meetings regarding this matter, consideration was given to the rather unique dilemma of the homeowner – given that there is a built in pool on their property and given the orientation of the property along Eaglewood Drive. At the end of the meeting on the homeowners property, a vote was taken and the homeowners plan was unanimously re-approved by the committee members present.

IRRIGATION PROJECT:

Emily advised that she had checked with the City of Sylvania on whether a permit is needed to install the irrigation system on the island – she reports a permit is not required.

Project is scheduled to begin as planned the last weekend of May or the first week of June.

DUES COLLECTION:

Robin Reynolds passed out a financial statement to the committee members. Robin stated that there are still 12 homes with dues outstanding, and will work on sending out a collection note to those that have not yet payed.

FLOWER BED CLEAN-UP DAY:

The committee discussed having an island clean-up day. The clean-up would include top dressing the mulch around the sign, and planting annual flowers. The committee discussed holding the clean-up day around Memorial Day or sometime shortly afterward. Emily will price mulch – and preliminarily will plan to purchase bagged mulch – approximately 20 bags.

NEW BUSINESS:

The committee discussed the Eaglewood Homeowners Blog. It was decided that the monthly HOA Meeting Notes will continue to be posted on the blog.

Emily Ordorica – Eaglewood Homeowners Association President called the meeting to order at 7:40 pm.

The Officers and Committee members in attendance were:

BEING ON VACATION FOR SPRING BREAK.

IRRIGATION PROJECT:
Since the February meeting, Emily contacted all of the companies that had previously bid on the irrigation project to get more details for their quotes – such as the number of sprinkler heads to be installed. The quotes are listed below:

Just Another Lawn Service $ 700.00 Landscaped area only

Simmons $1,520.00 Landscaped area only
$2,530.00 Landscaped area plus entire first island

Hatfield $1,400.00 Landscaped area only

The company that gave the lowest bid was Just Another Lawn Service at $700. Emily invited the owner, Dick Creekmore, to the monthly meeting to discuss the quotation. Emily advised Mr. Creekmore that the irrigation system had been discussed during our most recent meeting in February. It was decided at that time that only the area landscaped immediately around the Eaglewood Sign would be irrigated. Mr. Creekmore provided further explanation that his initial quote was figured on the high side based on past experience in dealing with neighborhood associations. He explained that he quotes high during initial quotation to associations due to the slow moving nature of associations decision making process, to prevent having to re-quote higher prices a year or two later when the typical neighborhood association finally makes a decision to proceed. Consequently, Mr. Creekmore advised that if Eaglewood HOA wants only the landscaped area irrigated, the cost would be less than his original quote – approximately $450.00 with enough sprinkler heads to provide 100% coverage of the landscaped area. Mr. Creekmore further advised that as an option, the HOA could choose to have the whole island closest to Erie Street - including the landscaped area as well as the grassy area irrigated for the same price of $700 that he initially quoted for just the landscaped area around the sign. He explained that since he has to bring water lines in from the water standpipe at the far north end of the island, the cost of the additional sprinkler heads to go ahead and irrigate the whole island would be covered in his original $700 quote for just the landscaped area. Mr. Creekmore provided further details including the fact that he will install a box in the ground that will have a blowback check valve that is part of the city code for sprinkler system installation. The HOA committee asked Mr. Creekmore what his charge would be to blow out the system for winterization – he quoted $40. He also advised that the HOA would need to check with the City of Sylvania to see if a permit is required. The HOA committee asked Mr. Creekmore how long the installation would take – he advised no more than 2 days usually. The HOA committee also asked the earliest date the system could be installed – Mr. Creekmore advised May 26th is the earliest firm first date available – but possibly the week before.

The HOA Committee conferred with Treasurer Robin Reynolds as to the status of the collection of HOA dues and discussed the cost of the irrigation system. It was determined that the after all budgeted recurring expenses and the previously planned project to trim the island trees, the cost to irrigate the island and landscaping for $700 will be able to be covered by this years annual dues payments.

Emily made a motion to approve the installation of the sprinkler system for the whole island area at the cost of $700 by Just Another Lawn Service. The motion was seconded by John Sundheimer and passed with a unanimous vote by committee members in attendance.


TREE TRIMMING PROJECT:

Emily advised that Bill Ludwig called her with several quotes that he had obtained to trim the island trees as discussed in previous meetings. The quotes are listed below:

Brian Lang $600.00 L.E. Savory $864.00
Batanian’s $745.00 Blanchard $2,250.00

Emily made a motion to approve the island tree trimming project at the cost of $600.00 to be completed within the next week to two weeks by Brian Lang. The motion was seconded by John Sundheimer and Patrick Brady and passed with a unanimous vote by committee members in attendance.


ISLAND FLOWER BED – SPRING CLEANUP:

Emily advised that she had done some preliminary cleanup of the flowerbeds around the sign. Emily also advised that Brian Lang had suggested applying a pre-emergent such as Preen to control weeds, top dress the mulch with approximately 1 ½ yards of fresh mulch, re-seeding bare spots in the grassy areas, and planting annual flowers in May. Emily will put a sign out seeking volunteers to assist with the flower planting.


MATT RAY:

Matt Ray is an Eaglewood residents that runs a lawn mowing business and asked Emily if the HOA would consider putting the island mowing out for bid. The committee discussed the present mowing service and the loyalty that he has shown to the association through the very reasonable cost that he charges the HOA. All committee members in attendance agreed that the island mowing would not be put out for bid.


UPDATED NEWSLETTER:

Emily asked Nick Melchert if the January Newsletter was distributed in paper form to the neighbors. Nick advised that he had sent the Newsletter to all Eaglewood homeowners with known e-mail addresses – and had posted it on the Eaglewood HOA Blog. The committee members in attendance had a brief discussion and agreed that since the HOA Monthly Meeting Notes and January/July Newsletters are available electronically via the Eaglewood HOA Blog – paper copies would no longer be distributed. This decision was made as a cost saving measure along with the added benefit of “going green” by reducing paper usage.

Nick advised that he would look into making a sign that can be posted on the island to let homeowners know each time a newsletter has been published on the Eaglewood HOA Blog.


TREASURERS REPORT:

Robin Reynolds passed out a balance sheet of the Eaglewood HOA checking account. The current account balance is $2,517.62. Robin indicated that there are still approximately 12 homeowners that have not paid their annual dues and advised that she will begin making phone calls to collect the remaining outstanding dues.


EAGLEWOOD HOA SUMMER PARTY PLANNING:

Emily advised that she had priced out a pig roast last year and came up with a figure of about $11.00 per plate. All committee members in attendance agreed that figure seemed a bit expensive. Emily advised that she is working on getting a cost to have a chicken roast as a lower cost alternative to the pig roast. The committee agreed that if the cost to have a chicken roast proves too expensive, the back-up plan will be hamburgers and hot dogs as was done last year. Emily asked Nick Melchert if the party could be held in his back yard – since it worked out well last year – he agreed that it could be held there again this year. A tentative date for the Summer Party was set for Sunday September 14th with September 21st as a rain date.








OTHER BUSINESS:

The committee brought up the McKinney’s yard work/fence project. Emily and John Sundheimer discussed making a call to find out their plans and give a deadline of the end of May for completion.

City tree trimming was discussed – some of the trees in the neighborhood are in need of having the branches that overhang the sidewalks trimmed. It was discussed that in the next newsletter, neighbors be made aware of the problem, and ask them to be considerate of neighborhood walkers and have the branches of their trees trimmed back so they don’t block the sidewalk.

A car that has been parked for several months in one of the cul-de-sacs was discussed. The car has been sitting in the same location so long that the tires are flat. Emily advised that she would call the homeowner and ask them about the car – and see about having it moved.
